Operations and Program Manager/Director, Dress for Success Pittsburgh - Pittsburgh, PA

Status: Temporary to Permanent, Full-time
Reports to:  Chief Executive Officer
Salary Range:  $33,000 + benefits

Program Management
Primary stakeholder for Program delivery. Dress for Success Pittsburgh operates two main programs: Professional Clothing and Professional Women’s Group.

Professional Clothing

  • Supervises on-site program staff, trainees, volunteers and interns and addresses and resolves all conflicts.
  • Delegates administrative and operations tasks to paid staff and volunteers, supervises and evaluates work done.
  • Supervises the enforcement of policies and practices.
  • Monitors staff performance relating to job description and conducts evaluations every six months of paid staff.
  • Monitors suiting program inventory to ensure that adequate quantities of all sizes and items are in stock and that suiting area and personnel are welcoming and professional.
  • Ensure premises are secure at all times.
  • Ensures that there is consistent volunteer staffing for front and back-office roles

Inventory Management

  • Responsible for ensuring adequate inventory stocks.
  • Coordinates all off-site clothing drives. 
  • Coordinates and manages inventory clearance “Fill a Bag” sales and PWG racks.
  • Oversees In-Kind Donation Manager (volunteer)

Referral Agency Liaison

  • Maintains regular communications with all existing referral agencies.  Corresponds with all primary contacts by mail, email or phone at least once per quarter. 
  • Meets with at least 1-2 referral agencies each month to gain knowledge and share information.
  • Organizes and hosts site visits and open houses for referral partners at least twice per year.
  • Recruits new referral agencies and answers all inquiries from potential agencies.
  • Actively promotes all programs and services.
  • Represents DFS Pittsburgh at meetings of Social Service agencies and program related conference calls as needed.

Client Relations and Administrative Duties

  • Ensures that front office is operating in a professional manner at all times.
  • Confers with referral partner program contacts to resolve problems that arise during client suiting.
  • Responsible for securing special items necessary to meet the needs of the PA Working Wardrobe clients, including seeking items in special sizes by visiting and contacting thrift, deep discount or other value stores.
  • Responds to all inquiries related to client services, referral partners or general questions.
  • Tracks and reports client statistics.  Responsible for monthly reports for CEO and DPW Program.

Professional Women’s Group (PWG)

  • Drives a core volunteer team to deliver the PWG mission
  • Responsible for overall coordination of communication, meetings and special events related to PWG

Volunteer Resources Management

  • Volunteers fill both staff and ad-hoc functions within DFSPgh and make significant impact on our operations.
  • The Operations Manager will recruit and lead a team of volunteers and ensure that they are motivated and trained to assist in accomplishing the DFSPgh mission.
  • This includes volunteer planning and work design, recruitment, training, record-keeping, nurturing and recognition, and evaluation.

Office Management

  • Responsible for Office Management – maintain office cleanliness and order, orders and ensures adequate stock of office supplies.
  • Receives invoices and codes them for payment.

Database Management

  • Responsible for maintenance of the following databases:
    • Clients
    • Professional Women’s Group Members
    • In-kind donors
    • Volunteers
    • Information Mailing List
    • Referral Partners
    • Inventory

Qualifications

  • Experience in workforce development, counseling and women’s issues desired
  • Undergraduate Degree required. MSW or MS in Public Policy/Affairs/Nonprofit Management desired.
  • Proficiency in Microsoft Windows/Office programs.
  • Personable and self-motivated.
  • Comfortable and proficient with public speaking.
  • Ability to multi-task essential.
