Position Summary:
The August Wilson for African American Culture presents, interprets and preserves the art, culture and history of African Americans in Pittsburgh and of people of African descent throughout the world.  The Center realizes it mission through an engaging schedule of visual and performing arts presentations as well as historical, educational and public programs.  The Center is scheduled to open a new 65,000 square foot multidisciplinary cultural center that includes an education center in early 2009.

Responsible for updating and maintaining accounting records, including those that tabulate expenditures, receipts, accounts payable and receivable, profit and loss. Individual will handle financial transactions and record keeping. Recording of transactions, post debits and credits, produce financial statements, and prepare reports and summaries for supervisor and managers. Prepare bank deposits. Processes and administers payroll, makes purchases, prepare invoices, and keep track of overdue accounts. Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices as well as tracking and reconciling other expenses of the company.

ESSENTIAL DUTIES:

  • Review invoices before data entry for proper authorization, correct coding, proof of delivery, correct math, sales tax, timeliness of processing and appropriateness of purchase.
  • Communicate with vendors regarding open invoices and statements.
  • Monthly A/P close and reconciliation of A/P sub ledger to the general ledger.
  • Analysis of printing, shipping, and phone bills.
  • Distribute, reconcile and replenish petty cash.
  • Prepare and enter various journal entries to properly classify expenses and revenues.
  • Collect money and provide receipts.
  • Make bank deposits daily.
  • Maintain a filing system for all financial documents.
  • Enter invoices and balance batches daily.
  • Process and mail checks on a biweekly basis.
  • Research vendor statements.
  • Active communication with staff about purchases and invoices, possible alternatives concerning purchases and/or vendors.
  • 1099 vendor processing.
  • Track and record monthly postage usage.
  • Prepare travel and accommodations for staff and artists.  Prepare travel advances for staff. Review and verify travel claims.
  • Protect organization's value by keeping information confidential.
  • Attends all required staff meetings and training sessions.
  • Monitor and order office supplies.
  • Accomplishes accounting and organization mission by completing other tasks as assigned/needed.

OTHER REQUIREMENTS:

  • Associate’s degree in accounting (or equivalent experience); working knowledge of GAAP principles
  • Attention to detail, self-motivated, thoroughness, effective communication skills
  • Ability to analyze information
  • Ability to manage vendor and employee relationships
  • Excellent computer skills including proficiency in Microsoft Office. Quickbooks experience a plus
  • Effective data entry and general math skills
  • Establish and maintain effective working relationships with supervisors, associates, outside agencies, customers and the public at large.
  • Lift up to 25 pounds

ENVIRONMENT:

  • Typical office environment.  Heavy use of personal computer and repetitive motion consistent with standard office procedures.
  • Exposure to vendors who may become upset and angry at times.
  • Minimum travel required.   

Compensation for this non-exempt position is competitive and commensurate with experience; benefits are included.
