Job Purpose

Responsible for all the computerized database information systems activities of the Foundation. Responsible for all fiscal management and accounting related to Foundation gifts/donations/revenue; reporting and reconciliation of gifts; and working closely with audit team (internal and external) with regard to annual audit of account receivables and daily/monthly cash deposits. Oversees and coordinates the team efforts of the Foundation Data Center.  Trains staff in use of all fundraising software.

Minimum Requirements

Educational/Knowledge Requirements: 
Required level of education: Bachelor's degree.
Area of education: Information Systems, Business, Accounting.
Required level of experience: 5 years.
Area of experience: Information Systems, Accounting, or Development.
Experience using Raiser's Edge for Windows fundraising software highly preferred.

Responsibilities

  1. Oversees Foundation Data Center staff.  Generate volunteers for managing donations during events.  Directs staff and trains new employees; provides valuable input to Vice-President of Development & Communications on personal actions, performance appraisals, employee development and goal setting. 
  2. Acts as workflow coordinator for Director of Development, Annual Giving, Communications and Special Events Professionals. 
  3. Responsible for complete, timely and accurate processing of donations.  Conduct a monthly review and analysis of all restricted, unrestricted and endowment funds.  Monitor all open pledge balances and creates appropriate pledge reminders as needed to ensure fulfillment of open pledges. 
  4. Handle all accounting and cash management activities between Foundation and Finance with relation to donations. Ensure agreement between the detailed records of donations and the summary results of fund-raising efforts as reported by Finance. Work closely with Finance to reconcile all accounting related issues. 
  5. Work with audit team (internal and external) with regard to annual audit of account receivables and daily/monthly cash deposits as they relate to the donor database. Assists in the preparation of contribution-related information for annual IRS form 990. 
  6. Compile and extract information from the database for donor and prospect mailings, evaluation and reporting. Analyze donor data and utilize the fundraising software to create various reports for Foundation management. 
  7. Participate in the development and ongoing monitoring of the Foundation's revenue and expense budgets as it relates to the database. 
  8. Coordinate efforts to ensure that the hospital's charitable registrations are current and in compliance with government regulations. 
  9. Assess the application and manages the use of computer software in support of the Foundation. Act as liaison with CIS on issues of hardware and software expansions/upgrades. Work with vendors of Foundation specific software, i.e., Raiser's Edge, Financial Edge & Researchers Edge.
  10. Acts as database administrator and liaison with fund-raising software vendor. Identify uses for software that are not currently employed; communicate same to the Foundation staff. Encourage and educate staff in the use of fundraising software. 
  11. Evaluate and respond to all Foundation-wide system and Foundation specific software (Raiser's Edge) errors and malfunctions. React appropriately to correct problems while minimizing system downtime. 
  12. Develop systematic, organized database coding structures for the collection of gift activity based on very specific attributes to enable assessments of the effectiveness of each fund-raising program. 
  13. Routinely communicate with donors on payment and other donation related issues. 
  14. Serve as liaison with all the United Way Agencies, especially the United Way of Southwestern PA to reconcile monthly deposits and other gift activity. 
  15. Complete annual benchmarking surveys that measure fundraising performance. 
  16. Performs in accordance with system-wide competencies/behaviors. 
  17. Performs other duties as assigned.
