Position: Administrative Assistant
Location: 425 Sixth Ave, Suite 650, Pittsburgh, PA 15219
Reports To: Director of Projects and Operations Salary Range: $25,000-$35,000 depending on experience
Summary
Administrative Assistant works closely with the Three Rivers Workforce Investment Board (TRWIB) staff performing a number of administrative, technical and analytical tasks in order to support the day-to-day functioning of the organization.
Essential Duties and Responsibilities
- Assist with all administrative support functions of the office, including but not limited to:
- Screening incoming telephone calls
- Preparing correspondence and mail merge
- Greeting visitors and alerting staff to their presence
- Opening, date stamping, and sorting all incoming mail, except mail marked confidential
- Scheduling internal and external meetings and coordinate meeting logistics
- Board Assistance:
- Establish and maintain Board files
- Post legal notices for Board meetings
- Generate and maintain Board meeting minutes
- Coordinate quarterly Board meetings
- Organize and collect data for Briefing Book. Coordinate printing and mailing of books to board members and guests.
- Provide administrative support to the Chief Executive Officer as needed.
- Maintain all office supplies, inventory, and re-ordering
- Work with other Administrative Assistant(s) to ensure that the needs of all staff are being met and the organization is running smoothly
Required Knowledge, Skills and Abilities
- Thorough knowledge and understanding of all Microsoft Office software, including Word, Excel, Powerpoint, Publisher, and Access
- Knowledge of office administration.
- Knowledge of general office equipment (computers, calculators, fax, copier, typewriter, shredder).
- Strong organizational skills and the ability to multi-task
- Ability to be detail-oriented
- Ability to work independently and prioritize work load
- Ability to work confidentially and with discretion
- Ability to type documents such as meeting minutes, letters, and other public papers quickly and accurately
- This job requires a motivated self-starter who can work both independently and in a team environment
- Excellent oral and written communication skills with the ability to interact with all levels of clientele.
- Ability to respond to routine and non routine correspondence, inquiries, requests and phone calls.
Education/Experience Requirements
Bachelor’s degree in a business related field, plus two to three years of related office experience required or Associate’s degree in a business related field or equivalent, plus at least three to five years of related office experience.
