Job Title:  Assistant to the Executive Producer

Reports to:  Executive Producer

Status:  Non-Exempt

General Description:  The Assistant to the Executive Producer is responsible for providing administrative and secretarial support to the Executive Producer of a large not-for-profit performing arts organization and for coordinating communications with the organization’s Board of Directors.

Specific Responsibilities:

  • Coordinating, organizing and assisting with the generation of the Executive Producer’s correspondence, including proofreading and follow-up work with attention to detail.
  • Coordinating and maintaining Executive Producer’s daily schedule with minimum direction from the Executive Producer.
  • Answering, screening and directing phone calls and messages to the Executive Producer.
  • Planning, implementing and coordinating the Executive Producer’s travel schedule and arrangements as well as for other staff members and guests of the Pittsburgh CLO.
  • Coordinate hotel arrangements/ground transportation for guests at the Pittsburgh CLO.
  • Scheduling and providing logistical support for meetings of the Board of Directors and its committees, including generating agendas and other materials, and taking and generating minutes for meetings of the Executive Committee and Board of Directors.
  • Providing logistical and administrative support for additional meetings and other CLO activities as directed by the Executive Producer.
  • Providing a “point of contact” and continuity during the time that the Executive Producer is traveling.
  • Addressing requests from CLO Board members and establishing strong working relationship with Board members, as well as representatives from other organizations and entities.
  • Other tasks as directed by the Executive Producer to assist him with CLO projects and activities.

Requirements:

  • High level of computer skills and ability to use appropriate application software.
  • High level of organizational and communication skills.
  • Ability to multi-task and focus on detail.
  • Two years of executive assistant or equivalent experience.
  • Knowledge of and/or passion for musical theater preferred.
