Database/Financial Reporting/Administrative Associate
Dual Responsibilities
This full-time position serves the McGuire Memorial Foundation and the Business Office of McGuire Memorial – a not for profit human service organization of Western Pennsylvania.
Qualifications:
- Prefer an individual with at least an Associate Degree in accounting.
- Ability to maximize use of Financial Edge application of Blackbaud’s Raisers Edge program.
- Prefer an individual with experience in working with a fundraising department of a not for profit organization.
- Proven ability to learn and master data/financial management software applications quickly and accurately.
- Proven/accurate accounting/bookkeeping experience.
- Excellent communication and organizational abilities.
- Strong Microsoft Office, spreadsheet, and database skills.
- Ability to work independently and collaboratively.
- Proven ability to plan, coordinate, and implement multiple projects simultaneously under tight deadlines (and do so accurately).
Duties and Responsibilities (included but not limited to):
Business Department Responsibilities (32% of work responsibilities)
- Assisting Accounts Payable function of the Business Department.
Development/Fundraising Responsibilities (68% of work responsibilities)
- Serving as chief resource person regarding financial functions and activity of the department and all related software applications.
- Management of accounting functions of the department (AR/AP, monthly journal entries, monthly bank reconciliations, monthly financial reports with variance explanations).
- Monitoring of income and use of all temporarily restricted, permanently restricted and all of available funds and creating reports upon request.
- Providing oversight and maximizing the utilization of the Financial Edge application.
- Tracking of expenditures of donor and board restricted gifts and grants – and creating reports as required by various granting agencies and organizations.
- Tracking of income and expenses for the operation of every fundraising event/activity/initiative to determine net/return on investment.
- Enhancing data collection and constituent coding/record-keeping.
- Building reports and running queries to provide financial/data support for all of the fundraising programs/initiatives/events of the department.
- Assisting department staff in tracking, coding, and entering information pertaining to events and campaigns.
- Ensuring the integrity of the database.
- Maintaining inventory of supplies required for the operation of the department as well as maintaining an organized space of all other supplies/materials/etc. of the department.
- Ensuring that internal controls for proper audit trail and coordinating annual audit process with auditing firm.
- Managing the insurance needs of the department.
- Administering and reconciling petty cash of the department.
- Assisting in the processing of ticket sales related to fund raising events.
- Ensuring accurate and timely filing of state registrations, United Way, games of chance, and all other filings as required.
- Ensuring availability for special events of the department.
- Establishing and updating policies and procedures to support the function/utilization of the Financial Edge application.
- Participating in the process of creating the annual budget for the department.
- Establishing a process in collaboration with appropriate departments within the parent organization to track and monitor use of grants/awards and anticipated outcomes.
- Assisting in gift entry, gift processing, and gift acknowledgement to ensure that all cash gifts, stock donations, pledges/pledge payments, annual gift tax receipts, and online donations are accurately recorded in the data base in a timely fashion and reconciled with financial reports.
- Assisting in fulfilling data requests for mailings, invitations, and other activities of the department.
- Assisting department staff in tracking, coding, and entering information pertaining to events and campaigns.
- Performs other duties as required by the department.
