Title:                   Database Administrator/Secretary
Reports to:        Development Manager

Summary: Part time position at non-profit housing organization serving homeless women with children in Allegheny County.  Duties include maintaining donor records and reports, processing gifts, preparing requests and thank you letters, as well as assisting with special events and holiday donation programs. Essential skills include: experience with database administration, proficiency in Microsoft Word, Access and Excel, and ability to manage multiple projects.

Essential Duties:

  • Maintains the donor database including

    -entering donor names, addresses and contribution amounts
    -generating thank you letters on a weekly basis
    -updating addresses and contacts
    -generating request letters
    -running queries and reports
    -printing labels for mailings
    -monitoring mailing requirements from the printer and post office

  • Handles preparation of bulk mailings, delivering them to the post office, and being up to date on postal regulations
  • Types various office correspondences including thank-you letters for donations, form letters, program participant lists and board member list 
  • Files all office correspondence and monitors for accuracy 
  • Greets visitors and volunteers, accepting in-kind donations and making sure a donation slip is completed
  • Distributes all incoming mail and outgoing office correspondence
  • Maintains appearance of reception area so that it is pleasing and comfortable for visitors
  • Verifies contents of ordered supplies and verifies on shipping form
  • Makes copies as needed for office personnel
  • Provides support to annual HEARTH special events and fundraisers
  • Assists Development Manager with coordination and implementation of special Christmas (or other religious holiday) programming
  • Performs other duties as assigned

Qualifications:

  • Experience with database administration
  • 1-3 years experience in administrative capacity
  • Proficiency in Microsoft Excel, Access, and Word
  • Organizational skills - particularly the ability to manage multiple projects with different deadlines
  • Great communications skills to interact effectively with board, general public, program participants, volunteers and staff

Time required:  24 hours a week between 9-5, Monday through Friday, 5 hours/5 days a week or 6 hours/4 days a week.  Must include Friday.

Salary Range:      $11-$12 per hour
