Part-time (30-35 hours) Administrative Programs Assistant II

Description: Provide administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, making calls, collecting data via phone, scheduling appointments for customers and associates, provide support to multiple supervisors and programs and projects.

Knowledge
The Knowledge of:

  1. Administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  2. Business and management principles involved in strategic planning, resource allocation, and coordination of people and resources.
  3. Electronic equipment, and computer hardware and software, including applications and programming.

Abilities
The Ability to:

  1. Read and understand information and ideas presented in writing.
  2. See details at close range (within a few feet of the observer).
  3. Arrange things or actions in a certain order or pattern according to a specific rule or set of rules (e.g., patterns of numbers, letters, words, pictures, mathematical operations).

Tasks

  1. Attend meetings in order to answer questions about programs.
  2. Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, and/or presentation software.
  3. Prepare responses to correspondence containing routine inquiries.

Current Programs and Responsibilities
1. ARRA

  • Receive folders from outside vendor and input data into spreadsheet
  • Stuff folders with additional paperwork and Allegheny County Assessment information
  • Schedule and track audits (using google calendar and personal calendar)
  • Input audit results into online WAP database
  • Scan completed audit paperwork
  • Invoice outside vendor weekly for audits and post inspections

2. Equitable (Non-interutility-EQ)

  • Schedule and track audits
  • Scan completed audit paperwork
  • Update Therese weekly with spreadsheet
  • Invoice for completed jobs
  • Schedule and track post inspections

3. Equitable (Interutility-IU)

  • Track audits
  • Scan completed audit paperwork
  • Update Therese weekly with spreadsheet
  • Invoice for completed jobs
  • Schedule and track post inspections

4. Columbia Gas IQEEP

  • Maintain IQEEP spreadsheet tracking all customers in the program
  • Collect customer eligibility information from Red Columbia Mainframe
  • Call all customers to inform of audit eligibility
  • Refer out-of-area customers to contractors via email
  • Schedule in-area customers for audits
  • Track all customer activity in spreadsheet
  • Maintain binder containing hard copies of customer information

5. Fee for Service Audits

  • Provide customers with information on CCI’s audits
  • Schedule audits for interested customers and track in Access database
  • Stay up-to-date on current incentives and loans for environmental efficiency

Assist with errands and tasks assigned by supervisors and/or program managers.

Compensation: $12 starting
