The Allegheny Conference on Community Development is a non-profit organization dedicated to providing private sector leadership to grow the economy and improve the quality of life of the ten-county Pittsburgh region. Together with its affiliates, the Pennsylvania Economy League of Southwestern Pennsylvania, LLC, the Greater Pittsburgh Chamber of Commerce, and the Pittsburgh Regional Alliance, the Conference focuses on creating a more competitiveness business climate and marketing the Pittsburgh region for investment and job creation.
OBJECTIVE
This position provides professional administrative assistance to the CEO, performing complex and confidential administrative functions. The position requires a high degree of business acumen and the ability to manage projects and influence others on behalf of the executive. Primary duties include meeting coordination, preparation of correspondence, appointment scheduling, etc. with the ability to work independently and with minimal direction. This position requires a thorough overall knowledge of the goals and direction of the organization and the ability to work closely with senior management. The nature of the work requires exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion and sound judgment. |
PRIMARY RESPONSIBILITIES
- Acts as a liaison between CEO and staff, Board members, Investors, and other clients to ensure efficient and timely flow of work. Establish and maintain relationships with Board members, Investors and their organizational staff.
- Independently facilitates the work of the executive by establishing, organizing and maintaining files, records and other related materials as required.
- Maintains executive’s schedule using discretion in establishing priorities. Schedules complex appointments, coordinates meeting and travel arrangements. Serves as a gatekeeper, understanding in varying degree, the requirements of the CEO.
- Manages incoming and outgoing communications (written, verbal and electronic). Drafts letters, memoranda; reports and presentations. Prepares/formats correspondence and reports on regular basis. Routes and responds to correspondence on behalf of the executive.
- Coordinates Board and Committee meetings, as appropriate, including meeting notifications, logistical requirements and follow-up. Coordinates compilation and distribution of briefing materials. Records and transcribes minutes and other pertinent records.
- Handles telephone requests and questions; takes message; responds to requests for information by researching the issues, gathering data and providing information when appropriate.
- Act as project manager for special projects, at the request of the CEO.
- Supervises and coordinates administrative team members on various projects when needed.
- Contributes to the efficiency of the organization by performing other duties and participating in special projects, as assigned.
SKILLS & EXPERIENCE
Education: |
Undergraduate degree, business school or equivalent training/experience required. |
Knowledge: |
Excellent grammar, spelling and punctuation. |
Experience: |
Minimum of 10 years demonstrated senior-level administrative experience. |
Skills: |
Ability to work independently and with discretion.
Ability to accurately and thoroughly plan own work to ensure quality and time efficiency.
Organizational, communication and project management skills sufficient to independently establish priorities and use sound judgment in carrying out multiple assignments in a timely manner.
Detail oriented.
Excellent interpersonal skills; ability to interact diplomatically with poise and tact in high-volume setting, establishing and maintaining cooperative working relationship with a wide range of individuals.
Proficient in MS Office suite. |
